MeADE Business Meeting Minutes

1.Minutes from July 15, 2009 meeting were approved by members present.

2.President’s Update: Sandy reviewed MeADE activities for the past few months.
Strategic Plan updated to a 3 year plan. Copies will be available at the MeADE booth on the exhibit porch.
AADE Chapter Census report done summer 2009 results: Results from state to state were very similar. AADE members stated a preference for face to face events with timely topics and a powerful speaker and a convenient location. AADE recommends keeping the information from the consensus report in mind when planning events. The report also recommended keeping email information brief and referring the reader to the chapter website. Sandy will make copies available if requested.
AADE site accreditation vs. ADA update: AADE is creating an incentive to get local chapters to apply for AADE recognition. Each new Maine chapter application for AADE Recognition increases your states chance of
Winning the incentive offered.
Please volunteer to serve on committees.

3.Committee reports:
Nominating: Lou P. Introduction of new officers for 2010: President Sheryl Bouchard; President Elect Kay Mullin, Past President Sandra Barth, Treasurer Wendy Drew for her 2nd term, Secretary Susan Young. Committee would like to have nominations made early. Your suggestions can be made to committee chair Lou Pelletier at any time.
Bylaws: Sandy B. Update: Clarification of what an active member is. Board also approved to move toward electronic voting starting with our next election. Members must keep email addresses current with the membership committee in order to receive information from the chapter.
Conference Planning: Laura G. & Jen C. Conference planning committee members recognized by the membership. Fewer people signed up for the conference this year. The economy and location may be factors. Conference attendees encouraged to complete the needs assessment for planning next years’ conference. Raffle items donated by local businesses and committee members.
Communications & Public Relations: Rena Gels-Birch. Committee members recognized. Call for new committee members. Reminder that MeADE diabetes educator brochures are available during the conference at $20 for 100; $10 for 50 and $5 for 20 brochures. Also included is a tip sheet on how/where to use these brochures.
Announcement of the publication of the first newsletter The Beacon. This
is available on the website. Goal is ultimately to print 4 newsletters per
year. The January issue will highlight this annual conference. Raffle items
available in the lobby. The Wii was made available from WalMart.

Finance: Wendy D. $ 24,522.97 balance through the end of September 2009. Wendy is requesting volunteers for the finance committee to develop the budget at the beginning of the new year.
Legislative: Sandy B. New chair person needed. Mary Fleming not staying on as chair person. Please volunteer by contacting one of the board members. Sandy encouraged the membership to contact their legislators to keep the CDE provider language in the Health Care Reform Bill. This would allow RN CDE’s to have a provider number and bill for services providing more flexibility in how and where diabetes education available.
Membership: Kathy J. Committee members recognized. Call for more committee members requested. Kathy reported that as of September 30, 2009 we had 135 MEADE members. 33% or 45 persons were also AADE members. The method for tracking membership has been revised. The committee will be using e-mail to remind chapter members that their membership is due. Because our bylaws allow for a 90 day grace period before dues are considered expired there will be a due date, an overdue category and expired membership after the 90 day grace period. 18 of 135 are in the overdue category. Two or more attempts to reach expired members were made this year. Members who expired on or before end of July 2009 have been removed from the membership list. Conference attendees were encouraged again to make sure that the membership committee has their current email address to receive MeADE communication. Membership committee requested monthly updates from the president and the treasurer regarding receipt of chapter dues paid online with AADE and from payments made to the treasurer.

4.Old or New Business
Sandy introduced out going officers and gave them each a “MEADE in Maine” ball cap.
